Hosting an Upland Outing
All Upland members are invited and encouraged to host outings. These can be outdoor or indoor events where artists paint or draw whatever inspires them. They can also be field trips to museums or offerings of workshops. Check out Past Locations for ideas.
Here’s how to host an Upland outing:
Pick an open date and contact the scheduler in order to save your choice of dates. At this time, the scheduler is Kitty Garlock (kittygarlock@gmail.com). Send her as many details as you know at this point, about the location and date/time of your event.
Upland usually hosts one outing a week so if a week is claimed, it’s not available.
Avoid dates that are blocked in pink on the calendar. These are dates that are set aside for Bloomington Portrait Group or other art events. The week is still available, just not the “pink” day
As you learn more information about your event, keep the scheduler informed so the details can be recorded on the calendar.
Five days before your event (preferably after the previous event), write up an invitation and send it to the Upland listserve. Include the following details:
A short description of the site (maybe include why you think it’s great!)
Day, Date, and Time
Location address; include directions only if you feel they are absolutely necessary
(e.g., if a GPS signal won’t be available)Availability of bathrooms, parking, shade, and/or other amenities
Cost (if applicable)
If desired, suggest a lunch (or snack) plan: e.g., brown-bag, pitch-in, nearby restaurant
Request RSVP ONLY if the event has limited space (e.g., 8 artists)
NOTE: these RSVPs should come directly to you, not the whole groupIf you think that weather might be an issue and you have alternative ideas (e.g., change of day or hours, indoor option, etc.), include them in your email so people can be prepared.
Include your email and/or phone number in case people have questions;
CC yourself in the email so you know it went out and was received!Send your invitation to: uplandpleinair@googlegroups.com
On the day of your event:
Arrive early to set up signs
Greet the artists as they arrive
Answer questions, as needed (e.g., point out parking and bathrooms, introduce owners, etc.)
Stay until the end of event
Collect the signs and return them to their storage place
If something goes haywire:
Be sure to send a cancellation email at least two hours before the start time of the event.
If, for some reason, you are not able to attend the event - but don’t want to cancel it - ask another member (or contact the scheduler) to cover for you
